Who is responsible

What we collect, why, and on what legal basis
- Email, name, Instagram handle, role, credit choice: to process your submission, contact you and credit you. Basis: performance of the contract.
- Your videos and what they show: to review and, if selected, publish them. Basis: performance of the contract. People who appear in them may have their own rights, which you confirm having respected.
- File metadata: a video's technical data may include its capture date and location. We use technical data for review. We do not copy location data into our database, but it stays inside the original file, which is never published as such.
- Proof of acceptance: document version, date and time, the statements you ticked, a keyed hash of your IP address and your browser type. Basis: legitimate interest in proving the licenses we rely on, and legal defence.
- Payment data, for accepted paid offers: amount, status and the reference given by our payment provider. We never store bank credentials. Basis: contract and legal obligation (accounting).
- Security logs and rate limiting: keyed IP hashes. Basis: legitimate interest in protecting the service.
- Audience measurement: pages visited, traffic source and funnel steps, without cookies, without IP address and without an identifier that follows you from one visit to another. Basis: legitimate interest.
- News about the program: only if you tick the optional box. Basis: consent, which you can withdraw at any time.
Retention
- Abandoned uploads: deleted after 7 days.
- Clips not selected or not processable: deleted within 24 hours of the decision.
- Selected footage: for the duration of the license.
- Proof of license and acceptance: for the duration of the license plus the applicable limitation period.
- Accounting data: for the period required by law.
- Audience measurement: 13 months.
Who receives your data
Our team, and our service providers acting on our instructions: hosting and database, file storage, transactional email, payment processing and, if enabled, a provider analysing video frames to suggest tags. A public credit is visible to everyone, on your instruction.
International transfers
Some providers may process data outside the European Economic Area. In that case we rely on a European Commission adequacy decision or on standard contractual clauses. You can ask us for a copy.
Your rights
You have the right to access, rectify and erase your data, to restrict or object to processing, to data portability, and to withdraw consent. Use your contributor space or write to privacy@aviationcontributors.com. We answer within one month. You may lodge a complaint with the CNIL (France) or with the authority of your country.
Automated decisions
No decision producing a legal or similar effect is made solely by automated means. Automatic checks only flag files for our team.
